Asset Management

Upload is easy and controlled with department-specific workspaces, giving you a location to organize and tag your assets before making them public. Automatically sync folders from your desktop or Box.

Well-managed metadata means finding the assets you want is fast and easy. Perform specific free-text searches or select from filter categories to narrow down a more general search.

Video and Audio Management

PhotoStore can also be used to store short video and audio clips showcasing the University and your department’s brand identity. An audiovisual asset can be downloaded as the original file or as a lower resolution version.

FAQs

Account Permissions
All user accounts are given general search and download permissions for PhotoStore. Please contact the digital asset manager if you would like elevated permissions to upload and manage your department’s assets.
Subscription Information
The basic annual subscription is $150, which allows unlimited access and use for all shared assets in the general PhotoStore library. (Images for Booth, Law, and Medicine will still be limited to subscribers in those specific user groups, in addition to photos in the main library.) Multiple users in a single department will be given discounted rates ($150/per person, $300 for up to four users, and $500 for up to 10 users). We’ll take care of that when we see a single FAS number among several subscribers. Simply fill out the information in this form and you will be notified once your user account has been created. If you are interested in Booth’s portal only, please fill out this form.

Best Practices

Metadata Best Practices

Proper metadata makes assets findable. Conforming to minimum standards ensures that the data is controlled and easily searched. As knowledge holders, departments will add metadata to their own assets. However, the digital asset manager will perform quality control on all uploaded assets to keep data to standard.

Checklists

Refer to these checklists for guidance on the steps for uploading and adding metadata into PhotoStore. For photographers uploading images after post-production work in Adobe Bridge or other software, the metadata will map to default PhotoStore fields, so no duplication of effort is necessary. In such cases, selecting keywords and values from other custom dropdown fields (where applicable) is the only metadata work required.
